Telscombe Hall - Conditions of Hire HSP/2017A

  1. A deposit against damage however caused up to £100.00 may be charged for each hiring. This deposit will be banked and returned after inspection by the Caretaker, Booking Secretary or other designated trustee.
  2. Any extension to the hire period where the hall is not vacated on time will be deducted from the Damage Deposit.  For Hires ending before 19:00 the rate will be £7.00 per each half hour or part thereof, for Hires ending after 19:00 the rate will be £11.50 per each half hour or pert thereof.
  3. The cost of Hire, which will be provided in a detailed invoice, includes all service charges, including water, gas and electricity. Various items including tables, chairs, use of cooker and freezer, crockery & cutlery are available for use by the hirer but the Council of Management do not provide washing up liquids or tea towels. Where any of the above available items are used by the hirer, they are expected to leave the items in a clean condition ready for the next hirer.
  4. The Council of Management require evidence that where the hirer is undertaking certain activities which are excluded from the insurance cover that the Council of Management has in place, including but not limited to Judo/other Martial Arts that the hirer has and is able to provide evidence of insurance and that such insurance will indemnify the Council of Management in the event of any injury howsoever caused. A list provided by the Insurers of the Council of Management, which is noted by the insurers as not being an exhaustive list but a list for guidance of the excluded activities is detailed in INS2016A. Where the hirer has any doubt about the activity that they intend to undertake they should in the first instance provide full information to the Council of Management so that reference can be made to their insurers.
  5. The Council of Mangement do not permit the use of Bouncy Castles or other inflatable play equipment on the basis that their own insurance cover does not provide for the use of such/similar equipment and validating the insurance of equipment providers has become extremely complex in order to protect the Council of Management and the hirer of the hall.
  6. The Hirer will:
    1. during the period of hiring be responsible for the supervision of the premises the fabric and the contents, their care, safety from damage however slight, or change of any sort.
    2. indemnify the Hall Council for the cost of repair of any damage done to any part of the property including cartilage thereof or the contents of the building during or as a result of the hiring.
    3. leave the Hall in a clean and satisfactory condition. Any articles left on the premises after 10:00am on the morning following the event will be removed and may be disposed of.
    4. be responsible for the behaviour within the vicinity of the Hall, of all persons attending their function.
    5. ensure that music shall be kept at a reasonable level to avoid nuisance to local residents.  No music to be played after 23:00.
    6. ensure that all refuse is placed in the provided waste bins, the hall does not have a re-cycling collection service and the hirer must ensure that all glass and plastic bottles are taken home or placed in local recycling facilities.
    7. not use Nails, hooks, staple guns, drawing pins or sticky tape to erect decorations, balloons or signs. Hooks are provided at strategic points around the hall or please use Blu-tack.
  7. The Hirer will
    1. ensure that the total number of persons permitted on the premises at one time, including stagehands, performers, stewards etc:

i.Closely seated audience 140.

ii.For a dance with guests seated at tables 120.

  1. will not sub-let or use the premises for any unlawful purpose or in any unlawful way, or do anything, or bring into the premises anything which may endanger the same or any insurance policies in respect thereof.
  1. The Hirer will be responsible for obtaining a licence:
    1. for the sale of intoxicating liquor if necessary. Prior to the event, proof that a licence has been obtained should be produced to the person named at (1) on the Hiring Agreement.
    2. if the event is to be a stage performance, application should be made to the District Secretary, at Lewes District Council.
    3. for the viewing of any TV Broadcast where equipment used to view such transmissions is plugged into the electricity supply within the hall.
